In partnership with the Ontario Jewish Startup Network, Schulich School of Business, and the Prosserman JCC, ChaiTech delivers high-impact programming, mentorship, investor connections, and community building rooted in innovation, identity, and purpose.

Role Summary:
The Operations Manager is the backbone of ChaiTech’s accelerator programs and community operations. This role ensures everything runs smoothly— from scheduling and speaker coordination to budget oversight, platform setup, and in-person event logistics. The ideal candidate is a systems thinker with a heart for impact, who thrives on bringing structure to chaos, anticipating needs, and keeping trains running on time.
You will also help evaluate and improve programs, support our dynamic founder community, and collaborate with our broader team to build and scale a best-in-class accelerator.
Key Responsibilities:
Operations (70%)
- Program Logistics: Manage all logistics for in-person and virtual programming — including scheduling, speaker bookings, calendar invites, reminders, and onsite coordination.
- Backend & Platform Setup: Manage founder-facing tools and backend systems like Zoom, Disco, Slack, and resource libraries.
- Budget & Vendor Management: Coordinate vendor relationships and track expenses, ensuring events and services are delivered on time and on budget.
- Process Development: Build and maintain documentation such as SOPs, run-of-show docs, onboarding checklists, and operating manuals.
- Project & Workflow Management: Track tasks and timelines using project management tools, ensuring deliverables are completed on time and with clarity.
- Data & Reporting: Maintain dashboards and track program performance data, attendance, founder engagement, and satisfaction metrics.
- Founder Onboarding: Lead onboarding workflows and ensure all cohort members complete essential setup steps by supporting our Community Manager.
Programming Support (30%)
- Session Support: Provide live session support (virtual/in-person), take notes, assist with logistics, and communicate follow-ups.
- Founder Experience: Respond to founder questions via Disco or Slack, troubleshoot issues, and help them navigate the platform and resources.
- Program Evaluation: Collaborate with the Programming & Community Manager to collect and synthesize feedback, make iterative improvements, and co-design founder-centric solutions.
- Event & Community Coordination: Assist with community-building events like ChaiTech Breakfasts, networking nights, pitch showcases, and Jewish holiday activations.
Additional Strategic Functions
- Special Projects: Support strategic initiatives, pilot new programs, or help scale existing offerings across cohorts and community initiatives.
- Partnership Support: Assist with operational elements of external partnerships, including communications, meeting coordination, and joint events.
- Community Engagement: Help foster a thriving, supportive Jewish founder community, strengthening relationships among mentors, alumni, and partners.
- Representation: Occasionally represent ChaiTech at events or liaise with partner organizations.
Ideal Candidate Profile:
- 3–5 years of experience in operations, program coordination, or administration in a startup, accelerator, nonprofit, or community organization
- Experience with platforms like Airtable, Zoom, Slack, Disco, and Google Workspace (or a strong aptitude to learn quickly)
- Comfortable managing multiple projects with moving pieces — and doing so with grace and great communication
- Excellent written, verbal, and interpersonal skills
- Detail-oriented, highly organized, and proactive
- Mission-aligned and passionate about entrepreneurship, innovation, or Jewish community building
Success Metrics (KPIs)
- Program Execution: 100% of sessions/events start on time, with logistics in place 24–48 hours prior
- Founder Experience: Average session satisfaction score ≥ 4.5/5; cohort survey response rate ≥ 80%
- Workflow & Projects: ≥ 90% of key tasks completed on time and tracked via project management tools
- Budget & Vendor Management: ≤ 5% variance from planned budgets; all vendors paid on time
- Process Improvement: At least 3 operational improvements implemented per cohort, with full team adoption
- Community Engagement: Demonstrated growth in founder participation and alumni retention
