About the Role
As the Senior Specialist, Workplace Services, you'll own the strategic execution of Toronto's workplace programs and vendor management. You'll design and optimize service programs (F&B, cleaning, facilities), negotiate vendor contracts, ensure Health & Safety compliance, and serve as the operational backup for the Senior Manager. You'll focus on program ownership, performance management, and continuous improvement, ensuring our flagship headquarters delivers an exceptional employee experience.
Key Responsibilities:

Vendor Management & Program Design- Negotiate and manage vendor contracts for cleaning, F&B catering, and facilities maintenance, ensuring SLA compliance and driving continuous performance improvements
- Design and optimize the F&B catering program including menu planning, service model design, dietary accommodations, and budget allocation, partnering with the Coordinator who executes daily operations
- Monitor vendor performance through quality checks, employee feedback, and service metrics, proactively addressing performance gaps
- Lead vendor sourcing and RFP processes for new services or contract renewals
- Act as primary liaison with landlord and building management for base-building issues, maintenance escalations, and facility enhancements
Health & Safety Compliance- Lead Health & Safety programs for the Toronto office, including chairing the Joint Health & Safety Committee (JHSC), coordinating inspections, and managing training programs
- Ensure compliance with all Ontario workplace safety regulations and company policies
- Prepare for and coordinate annual fire drills and safety communications
Operations & Data Analysis- Manage operational budgets for Toronto, processing program and vendor invoices, tracking expenses, and identifying cost optimization opportunities
- Analyze workplace data (occupancy trends, desk booking patterns, ticketing metrics, service utilization) to propose strategic adjustments and resource optimization
- Support the Senior Manager with operational decisions and vendor escalations during absences
- Lead operational improvement projects such as process optimization and new program implementations
Cross-Functional Collaboration- Collaborate with IT, Procurement, Finance, People, and Legal teams on workplace initiatives that require vendor coordination, budget approval, or operational support
What You'll Bring- 5+ years of experience in Workplace Operations, Office Management, or Facilities Management, with clear progression into vendor management or program ownership
- Demonstrated track record of managing vendor relationships, performance management, and ensuring SLA compliance for core services (facilities, cleaning, catering)
- Strong program management skills with proven ability to design, optimize, and elevate workplace service programs
- Working knowledge of Health & Safety/Workplace Compliance standards, particularly Ontario regulations (JHSC experience is a strong asset)
- Ability to exercise independent judgment
- Data-driven approach to operations, with ability to leverage occupancy and service metrics to drive strategic decisions and enhance employee experience
- Strong financial acumen with experience managing operational budgets, processing invoices, and identifying cost savings
- Excellent cross-functional collaboration skills, particularly with People, Procurement, IT, Finance, and Legal teams
- Strong problem-solving abilities and composure under pressure during operational escalations
- Highly organized, detail-oriented, and able to manage multiple strategic priorities simultaneously

Compensation & Equity
🤑 Base salary range: For this role, candidates located in Canada can expect a base salary range of CAD $88,000 - $110,000. Actual compensation is determined based on skills, experience, and role level. Exceptional candidates may be considered above the top of the range, and pay can increase quickly for those who make a big impact in the role.
🚀 Total compensation: In addition to base salary, this role includes equity compensation. We use clear job levels and market-based salary bands to ensure compensation is fair and consistent across the company.
